EQ/M, CommonView, and System Thinker

I want to rename our solutions to one consistent name followed by "for...." and the appropriate market.

I am thinking about jadian assurance suite to cover all of our modules, e.g. operational, field, portals and directories, notifications, knowledge management, and supply web management.

So it would be something like "jadian assurance suite for certification assessment bodies"

I would love some feedback, if anyone has any.

We've added new functionality to the Enterprise Quality Manager (EQ/M) quoting (quote/proposal creation) module that supports the IAF MD 5:2009 requirements for QMS and EMS audit durations. The new feature will help you operate within the newly issued framework while still providing a lot of flexibility in determining audit durations and enabling you to note justifications when you make deviations. Although deviation from MD 5 does not automatically lead to nonconformity against ISO/IEC 17021, it does open the door for possible investigation into the completeness of the audit. The top 3 countries for certificates are the United States, Japan, and Mexico but there are also certs from far-flung places like Uzbekistan, Luxembourg, Yemen and Zambia. Communication Methods

It has apparently been very difficult for us to continue to keep the jadian Blog up to date. There are so many thing happening right now it gets lost in our day to day work. So this entry will just briefly state some of the things we are working on: we continue to refine our management system to improve our quality and security processes, we are almost complete with our most recent upgrade of all of our sites to EQM 2.2.10, we have completed restructuring 75% of our projects including using SVN for version control, by the end of April we will have approximately 5 open proposals that we are in the running for that total over $3M in revenue, we will be live with all of RTA's implementation by mid-May and should complete all phases of Dubai Municipality by June 1 and 1237 other things....

We have started to use LinkedIn more effectively - search for jadian enterprises, and we are using Twitter @jadian0902 to post smaller items to try to start conversations with people from around the world and through the different industries we touch.

I hope to start maintaining at least weekly posts on the blog - any suggestions?

jadian’s EQ/M supports the transition to ISO 9001:2008

In November, the International Organization for Standardization (http://www.iso.org) introduced ISO 9001:2008, the fourth edition of the popular ISO 9000 quality management system standard. This new standard helps clarify requirements in ISO 9001:2000 based on input and experience gained since its release 8 years ago. Another key goal of ISO 9001:2008 is to improve compatibility with the ISO 14001:2004 standard for environmental management systems.

As expected, jadian’s Certification Body customers are adopting ISO 9001:2008 and transitioning customers to the new standard. jadian's EQ/M certification and audit management solution (http://www.jadian.com/eqmoverview.htm) has built-in tools and an upgrade strategy for handling these transitions smoothly. Our solutions enables Certification Bodies to easily add new certification programs and track the transition of their customers to the new standard without losing historical information. This upgrade/transition philosophy is applicable to any standard so when, for example, a new update is released for ISO 14001:2004, Certification Bodies can do this quickly and easily. The same holds for companies using EQ/M to manage internal quality systems and Accreditation Bodies managing standards like ISO 17021, ISO 17025, ISO 17024, etc.

jadian expands efforts to Qatar

Recently jadian branched out to another Middle Eastern country: Qatar. On December 7th, Jerry traveled to Doha (capital city of Qatar, population around 400k) to meet with a new business partner, Ali Bin Ali. Ali Bin Ali Group is a privately owned company, established in 1945, that today is one of the largest retail and distribution companies in Qatar. Ali Bin Ali formed an IT group in 2002 to provide Application Services and related consulting and System Integration services to the Qatar Market – this group is known as Ali Bin Ali Technology Services, or ABATS.

During the sales training session, Jerry and the ABATS team discussed a wide variety of topics, including software features & benefits, target markets, and approaches to joint marketing. The goal is to introduce jadian’s EQ/M product throughout Qatar to a variety of government and private industry companies. We are excited to be partnered with such a well-respected IT organization and believe jadian will benefit tremendously from the relationship with ABATS.

After 18 months in our temporary space, jadian is moving into our new office space in the MIX (ACD.Net) building. The new space will give us a more professional and private setting and facilities for our own (rather than shared) conference room. The new area will double our current space and we will have approximately 2000 square feet.

In addition, to more privacy and professional area, the new space will also improve our overall security by placing our non-critical servers in a more secured area and allowing all of our data to be in a locked and controlled place.

IAAR Database Project

Last week in New Orleans jadian presented our latest version of our online directory for certified / registered companies to the IAAR membership. The new version was received very well and we will be moving forward with the project. In general the solution gives users several methods to import and synchronize their data so that the certificates can be uploaded in batch or updated from one system to another in real time.

EQ/M's Risk Model Refined

Enterprise Quality Manager (EQ/M) includes a configurable risk management module that assesses establishment risk based on the severity of the failure consequence and the probability that a failure could occur. Recently jadian has refined the model to be more expandable and for it to have the ability to track the history of the risk. We have also added more graphics to help track the risk.

An establishment’s risk assessment can then be used to determine the appropriate inspection frequency, sampling plans, required courses of action (e.g. a corrective action or documented risk analysis plan), and the type of checklist or form that is used for the inspection. For example, high-risk establishments can be inspected more frequently or with more detailed inspection checklists than low-risk establishments. This enables municipalities and federal ministries to focus inspection resources on the highest risk establishments.

The Enterprise Quality Manager risk module is currently in use by the Dubai Municipality Public Health Department and the United Arab Emirates (UAE) Ministry of Labor. The Dubai Health Department uses Enterprise Quality Manager to assign risk factors to raw and processed food products imported into the country. The risk factor, in combination with the inspection results, help the municipality determine not only inspection frequency but also the number of samples and level of lab testing required. The Ministry of Labor (MoL) is using Enterprise Quality Manager to inspect companies for compliance with the country’s labor laws, including investigation of late or non-existent salary payments, working environment, and labor camp conditions. MoL inspectors use the Enterprise Quality Manager risk module to ensure focus on the higher risk companies who have violated labor laws in the past.

jadian Knowledge Base

jadian enterprises has recently implemented a WIKI for our EQ/M knowledge base. The knowledge base contains descriptions and technical details for all modules, documented instructions on the use of EQ/M, troubleshooting guides for self-support, and instructions for configuration and customization.

It is currently being used by jadian employees, but will be available to all users by the end of the year. jadian will also be using it for new employees who will be filling positions in the next couple of weeks.

The knowedge base was introduced in Late September and has grown to contain over 1000 pages in just 30 days.

jadian's Network Reliability

In the past four days the Midwest has been hit with a series of storms. Many homes and businesses in the mid Michigan area have been suffering without power for nearly 4 days now. When the power went out in the area where the jadian offices are located, the infrastructure acted as expected. Though there was a complete black out in all surrounding buildings and infrastructure, our network experienced zero down time. When I needed to recharge my phone, my laptop and get to the Internet, I came to the office because I knew it was up and running.

24 hours a day, 7 days a week someone is using our software to manage compliance and it is good to know our infrastructure can hold up in these less than ideal conditions.

Dubai's RTA

jadian enterprises has been awarded another prestigious contract with another prestigious customer. The Road Transportation Authority of Dubai, U.A.E. has selected jadian's Enterprise Quality Manager to manage the compliance for their Right of Way, Advertising, and Marine Departments as well as the Public Transportation Authority which includes compliance management for Taxis and Buses.

There will be several integrations including Revenue Management, eTraffic and Dubai Police systems.

In addition, during this project jadian will be introducing their new GPS tracking system that will give an interface to manager's and supervisors that will show on a map where the inspectors are in real time. This map will then be able to use different GIS layers such as frequent violations and complaints.

Catch Up

It has been a month or so since I wrote in the blog. I have been in Dubai for the past few weeks and was so busy that I just could not take the energy to blog. This was a mistake because I should be communicating to the people who read this blog more often – sorry.

The trip to Dubai had, as always, several objectives. The primary objective was to get as many items as possible into production for Dubai Municipality. We were successful in getting most of the Public health department live, all of the integrations (I will write a separate post for this), one eGovernment eService, and some more work on the Environmental Department. Overall it was a very successful trip from this regard.

Another objective that is always present when going to Dubai, was sales and the pursuit of new contracts. On this front I met with 5 different prospects (including the Ministry of Labour for additional work they require). The bottom line for this is that all prospects moved to the next step in the sales cycle. This included obtaining two contracts and two purchase orders. The value of this is twice as much as we made in Dubai in 2007. It was a very successful trip. In addition, on the sales front, we were asked to submit three different proposals / change requests for DM that include more services and very importantly a significant amount of more licenses. We also sent one of our Dubai based guys to Doha, Qatar to meet with Doha Municipality through our new partner Ali bin Ali technologies. This resulted in a request for a quote for a pilot program in the public health department. It looks like we could be established in Doha within the next couple of months.

Then finally the other common objective of every trip is to meet with potential partners. I met with two potential partners that resulted in plans to move forward with each of them. This will double the amount of people selling the jadian products and services in the Middle East.

In summary, this was the most successful trip that I have ever had in Dubai. 2008 is looking very bright.

The purpose of the revision to the site was to add more content and explanation to potential customers, more tools for our partners, and more information to our current clients. We have also changed the look and feel of the site.

jadian completes CAPA training

Last Wednesday, October 17, 2007, jadian enterprises completed Corrective and Preventive Action training for all U.S. based employees. The objective of the training was to ensure that the participants are able to complete corrective and preventive actions that they may be assigned due to internal audit noncompliances, customer complaints, customer satisfaction issues and internal defects.

The training was lead by Joy Wagner, jadian's management representative. It was a two hour session focusing on the tools used for root cause analysis - especially 5-why. The session used a real world example (project delays and lack of communication). All participants were engaged in the training and it was a very successful session.

The training has given immediate benefits, in that some of the action plans are being put in place this week. It has also given jadian a more common language to use when talking about our management system and more employees are aware of performing root cause analysis.

Customer Satisfaction Survey

Over the past few months jadian has been collecting customer satisfaction data from most of our clients. 42% of the surveys we sent were returned to us. We asked 6 questions on a scale of 1 to 7. We gave the following guidelines to the respondents:

7 = Above Average

4 = Average

1 = Below Average

While we look at the responses as positive, there were a few issues that we need to address:

1. Communication of Project Status is weak

To resolve this issue we are: Seeking a project manager candidate and rewriting the jadian task and support system to automate more reporting through sending of emails. We anticipate that these two projects will be completed in November.

2. Better documentation and troubleshooting guides are required

As we move everyone to a consistent base, we are also creating the required documentation for the solution. The documentation will first be created for users, then will be followed with the technical documentation. We anticipate that anyone on the base platform will have documentation by the end of the year.

3. Need to improve the support system

We are going to form a separate department for support. The people will come at first from current, experienced and knowledgeable jadian staff. We intend to have 24 X 7 support that can be reached through a toll free number, email, or web based chat. We also will be improving our support web site (http://www.jadian.com/support.htm) to include troubleshooting guides and other tools to assist in support.

In addition several features were requested:

1. Oasis Interface - this is planned and related to the IAAR project.
2. Better support for FireFox and Safari - FireFox is almost done and we will start working on the Safari issues soon.

Public Health Professionals Training

On Sunday (September 16, 2007) jadian enterprises started the training of over 150 Public Health Inspectors, Officers, Senior Inspectors, Heads of Units, Heads of Sections and Business Administrators. The picture to the right are the participants in the last class.

The training involves for major categories: Refresher Training, New Features, Integrations that are implemented, and eServices that are implemented for the eGovernment. The integrations include FileNet, Dubai Economic Department, DM Cash Register Application, Food Import and Re-export System, Lab Information System, Notification (Complaints) Management System, Oracle HR and eClinic. The eServices are for requests for all types of permits, viewing of inspection results, ePay for fines and fees, and inspection results disputes.

Most of the users have been using the system for over 2 years but the new features and discussion about how best to use the system has been very productive. Also the users have noticed that the integrations have started to be implemented making more data available and the data accuracy is improving.

The training will last for 7 days and involve two sessions per day. It covers the Food Inspection, Food Safety, Pest Operations, Pest Technical, Vet, and Clinic Units. It is being held at the Dubai Municipality Staff Club, a very nice complex, with facilities for high tech training and work stations available to all participants.

State of Michigan - Railroad Crossings

Today the State of Michigan's Michigan Department of Transportation (MDOT) awarded a purchase order to jadian enterprises, inc. for the inspection of railroad crossings. jadian is very excited about this contract because it is our first with our own state. It is also a fruitful addition to our push in the realm of transportation authorities.

We are partnered in this contract with EDS out of Lansing, MI, our first project with them. We also hope to start a deeper partnership with the State itself and have move opportunities for inspections and compliance management.

We are also working on a large pursuit with the Dubai Road Transportation Authority (RTA) that would include the inspections of roads, billboards, maintenance work orders, inspection of bridges and other infrastructure. The RFP for this should come out within the next couple of weeks.

Brian Moeggenberg, EQ/M Engineer, has been at the Michigan's Management Information Systems Association (MISA) show for the past couple of days, meeting with different members of the Department of Information Technology team. This will potentially help us find other areas within the state that can use our software to help the state become more efficient and effective.

Field Service Management Solution

jadian is announcing our most recent configured solution: Field Service Management. This solution is a natural extension of our compliance management solutions. It allows any organization with a large number of assets to track a central database of all of these assets, schedule routine inspections and maintenance, manage work orders, track repairs, track inventories, track the performance of the people performing these functions. It also allows for a completely configurable risk model that allows risks and vulnerabilities to be assessed for all assets and this risk is then used for the prioritization of activities (e.g. inspections) and the mitigation of the risk.

GITEX and Dubai Update

The GITEX exhibit here in Dubai is going well. The first day and a half was not as fruitful as hoped, but things picked up quite a bit in the last day or so. There is a lot of interest in our product from different government bodies throughout the region. We have picked up about 10 leads thus far and several opportunities for partnerships. We have also looked at several potential alliances, two of the most interesting having to do with SMS integration and a potential Blackberry application for EQ/M.

The presentation regarding the Dubai Municipality General Inspection and Fine Solution is later today and I will post after the presentation to give a status of how it went.

We have dinner with our partner Intertec tonight and will meet a couple of potential customers and the Ministry of Labour.

Off to Dubai

Well, I am off to Dubai. For those who do not know, this is part of the United Arab Emirates (UAE). It is one of seven emirates, an emirate being like a city/state. It has been in the news because of the Dubai Ports/Dubai World wanting to buy ports in the U.S. or because they are building the world's tallest building, they have an indoor ski slope, the only "7 star" hotel in the world, they have build islands that look like palm trees and a map of the world, etc.

This will be my 33rd trip to Dubai, I am becoming a regular. I have many friends there from all sorts of nations (British, Indian, Emiratees, German, French, Chinese, Brazil, Egypt, Jordan, Palestein, everywhere). When I am there or at least preparing to go people always want to know what it is like. Most of the time I answer that it is hot (130 degrees), but they really want to know if I am safe in the Middle East. The answer is yes. People over there that are Islam are a lot like all of us. They love their wives (notice the plural though), their children, they laugh, they play, everything like us. They are very, very nice people, and I enjoy going there.

Over the next two weeks, I will blog more on my Dubai experience both business and just life in Dubai.

Management System Update

For the past 12 months jadian has been in the process of developing our management system in compliance to ISO 9001 (Quality Management) and ISO 27001 (Information Security). We currently have:

appointed our management rep (Joy Wagner)
surveyed our customers related to their satisfaction level
policy and procedures manual written and in place
performed an internal audit
written corrective actions for all customer complaints (out of memory is the current biggest problem)
written corrective actions for all internal audit findings - expected closure at the end of October
created a draft of our objectives and goals and began to measure performance against them

In September and October we plan to complete the following:

put a lock on our cabinet inside of the secure data center (this makes our secure area even more secure) - this is complete
complete our risk analysis for our information security
close all CARs related to the internal audit
upgrade our servers to WIN 2003 to get rid of the out of memory problem - this is scheduled for Sept. 9, 2007
add two developers to our development team
start the process of creating a call center to increase the number of hours we provide support

QuickBooks Integration

Today jadian enterprises, inc. announces the completion of our first version of an add-on product for QuickBooks Integration. The integration allows for client's/customer's information to be transferred from jadian's EQ/M to QuickBooks, this includes any updates made to the client/customer (e.g. address changes). Invoices, their line items, amounts and status that are created in QuickBooks, are also transferred back to EQ/M, allowing payment and account status to be checked before the issuance of permits, certificates, audit and inspection reports, etc. In the next two weeks, the California Certifed Organic Farmers (CCOF) will implement the add on for use in their organic certification efforts.

jadian to Present at GITEX

jadian enterprises, inc. will be presenting in the Dubai Municipality booth at GITEX in Dubai on September 11, 2007 from 11:15 to 11:45. The topic of the presentation will be the automation of inspections and fines for Dubai Municipality. The key points to the presentation include: use of the risk based inspection model, using handheld computers for remote data collection and the integrations with other systems such as eGovernment, Dubai Economic Development, and LIMS.

EQ/M has been used for the General Inspection and Fine Solution for DM's Public Health Department for over two years now. It is currently being implemented for the the Environmental Department and there are plans for a wider implementation next year.

In addition to the presentation, there will be a representative of jadian in the Intertec, Intermec, and DM booths during the show. In these booths there will be opportunities to see demonstrations of the solution and discuss jadian and Enterprise Quality Manager.

jadian's software - we are changing the name

As we continue to refine the base of our software and expand our markets, we are finding that our name is no longer appropriate. Most people know it as Enterprise Quality Manager or EQ/M.

Therefore we are currently in the process of determining a new name for our software. We currently market and sell it under the names Enterprise Quality Manager, CommonView, and System Thinker. Reference: http://www.jadian.com/solutions.htm

We would prefer to have a single name for all derivatives of the software. We would also like to have a name that conveys some meaning related to Quality, Environmental, Safety and Security compliance.

If you have any suggestions, we would love to hear them. We are going to continue to update the survey to the right until we have chosen the name.
